App 3 of 4 — picker app

Pick the order right the first time

A queue of orders, a barcode scanner and a substitution loop the customer signs off on — the whole picking floor works from one app, from the moment an order lands to the moment it is packed and labelled.

Queue

One queue, every order, however it arrived

Orders from the website, the customer app, WhatsApp, Instagram or the shop counter land in the same picker queue — the picker never needs to know or care which channel it came from.

  • A single order queue across every sales channel
  • Browse products by category to find items fast
  • Cancel with a reason when an order cannot be fulfilled

Scan-to-pick

Barcode scan-to-pick, item by item

Scan each barcode to confirm the right item and quantity, and mark it picked, short or out of stock as you go — no relying on memory against a printed list.

  • Barcode scan-to-pick against the order line
  • Mark items picked, short or out of stock
  • Find alternatives and related products in the same screen

The wrong item will not scan — the barcode is matched against the order line.

Substitutions

Offer a substitute — the customer decides, not the picker

When an item is out of stock, the picker offers a recommended, related or any catalogue substitute. The customer approves or declines it from their own phone, and the decision is recorded against the order item.

  • Recommended, related or all-products substitute tabs
  • Customer approves or declines from their own phone
  • The substitution is recorded on the order item

Handover

Mark preparing, assign a driver, reschedule if needed

Once picking is done, mark the order preparing, assign it to a delivery agent, or push the slot back if the shop is running behind — all without leaving the app.

  • Mark the order as preparing when picking is complete
  • Assign a delivery agent directly from the app
  • Reschedule the delivery slot when the shop is behind

Packing

Print the packing label before it leaves the floor

A packing label prints for the finished order, so the driver or the counter can match bags to orders at a glance.

  • Packing label printed per completed order
  • Works with the same printers as the shop admin app

The approval loop

How substitution approval works

From an out-of-stock item to a customer decision, step by step.

  1. 1

    Item out of stock

The picker finds the item is out during the scan.

  2. 2

    Picker offers a substitute

From a recommended, related or all-products list.

  3. 3

    Customer is notified

The approval request reaches the customer’s phone instantly.

  4. 4

    Customer approves or declines

The customer — not the picker — makes the final call.

  5. 5

    Recorded on the order

The picker continues immediately with the outcome.

If the customer declines, the picker returns to step 2 with another option, or marks the item out of stock.

FAQ

Frequently asked questions

Does the picker choose the substitute on their own?
The picker offers a substitute — from a recommended list, related products, or the full catalogue — but the customer approves or declines it from their own phone before it is added to the order.
What if the customer does not respond to the substitution request?
The picker can mark the item out of stock and continue with the rest of the order rather than holding the whole pick for one item.
Can one picker handle orders from several channels?
Yes. The queue is channel-agnostic — orders from the website, the apps, WhatsApp and social channels all appear the same way, so no separate workflow is needed per channel.
